Form library
Pick the forms your workspace uses so your assistant can prep them
Your form library is the set of forms your workspace works from. A form that's in it is one your assistant can pull up, prep for a transaction, and fill in with what it already knows about the transaction. A form that isn't in it is one it can't touch.
You'll find it at Settings > Form Library. It's a workspace setting rather than a personal one, so only owners and admins can change it. Everyone else in the workspace uses whatever's there.
What you start with
Your library starts empty. Backhouse doesn't add forms behind your back, so nothing lands in it until an owner or admin picks the packs.
- Go to Settings > Form Library and select Get started. The setup guide on your home page opens the same steps.
- Confirm your license state if you haven't already. It decides which packs you're offered.
- Choose your state's packs and select Add. You'll watch the forms arrive one by one.
- Upload your member copies of the forms Backhouse can't ship you. One buyer or listing agreement is enough to start signing clients, and you can add the rest whenever you need them.
If you're licensed in Texas, you're offered two packs. TREC promulgated forms arrive complete, PDF and all, ready to fill. TAR forms (Texas Association of REALTORS) arrive as entries with no PDF behind them, because TAR licenses those to its members instead of publishing them. Download your own copy of the Residential Buyer/Tenant Representation Agreement (TXR-1501) or the Residential Listing Agreement (TXR-1101) from TAR, upload it once, and the form works from then on.
If you're licensed anywhere else, there may not be a pack for your state yet. You'll see a button to request one, and in the meantime you can add your own forms from the Form Library.
That's the honest state of it. Texas has the fullest pack today. If yours isn't covered, tell us which forms you need most and that's what we build next.
The three states a form can be in
Every form in your library is in one of three states, and the label on the row tells you which.
Ready. There's a PDF and a field map behind it. It fills, it sends, it signs. Nothing for you to do.
Needs your copy. Backhouse knows the form and where every field sits on the page, but can't ship you the PDF. This is the TAR case, and any other form your association licenses to members rather than publishing. Download your own copy from your association and upload it once. A banner at the top of the page counts how many forms are waiting on this.
Not available yet. There's no field map, so the form can't be filled even with a PDF. These are reference-only, and Backhouse won't offer them when you go to add a document. Nothing you upload changes this one.
Adding forms
The + in the top right has two options.
Import form pack brings in a curated set at once. You'll see the forms it contains with everything checked, and you can uncheck anything you don't want before importing.
Add your own form takes any fillable PDF you upload and makes it fillable, signable, and available to the assistant. Use this for brokerage-specific paperwork, your own addenda, or anything your association publishes that we don't carry.
How your assistant uses it
Ask for a form on a transaction and the assistant pulls it from this library, fills what it can from the transaction, and shows you what it filled and what it couldn't. You review and correct before anything goes to a signer. See Documents and files for what happens after that, and Drafts and actions for how approval works.
If you ask for a form that isn't in your library, or one that's still waiting on your copy, the assistant tells you and points at the fix rather than quietly producing something else. If you're a member rather than an owner or admin, it offers to let your admins know instead, since you can't change the library yourself.
